Changes to Executive Committe: A Proposal

Proposal to modify the Executive Committee Structure:

The Executive Committee would be comprised of 4 officers and Workgroup Chairs.

Executive Committee members will commit to attending 2 face-to-face planning retreats between Annual Meetings, one in the Fall and one in late Spring.

Chairs from the following workgroups would comprise the Executive Committee: Finance, Development, Annual Meeting, Youth, Membership, RSC/CAPP, Technology, and Personnel.  

Workgroup chairs, staff, and Officers will commit to a monthly Executive Committee call.  Workgroups will convene on a monthly basis.

Executive Committee members will make a 2-year commitment with renewal annually at the Annual Meeting.

Intention for the Change
The role and responsibility of the Executive Committee is to oversee, in partnership with the staff, the work of the organization being in alignment with the strategic plan and distribution of overall workload.

By making this change we hope to develop and maintain continuity on the Executive Committee and ensure that Committee members possesses a range of skills that will assist in moving the work of the organization forward.

Reasons for this change:
The Executive Committee has discussed in-depth and articulated the following reasons for changes to the current structure.
-    Folks who do the work aren’t effectively engaged in decision- making process.
-    Regional Reps have limited contact with the workgroups.
-    Regional Reps duties are different from the workgroup chairs.
-    This will be a method to distribute the work among more members and engage more board members.
-    Strategically link the staff with the workgroup chairs.
-    Will generate continuity with Executive Committee.
-    Regional representation on the Executive Committee does not currently actively represent their Regions because ROOTS activity happens in Rhizomes and not Regions.

There will no longer be regional representation on the Executive Committee. We are striving for all Board Members to participate on the workgroup level. As a board member your active participation in workgroups will assist in ensuring your representation on the Executive Committee level. Satellite members can be workgroup chairs.

Concerns and Considerations:
Who will communicate what is happening on the Executive Committee to the membership?
    Your workgroup chair will be responsible for communicating with you regarding conversations at the Executive Committee level. Additionally, meeting minutes will be distributed to the board and available on the website post-meetings.

Won’t my region be isolated from the center of where policy and decisions are being made?
    Through your active participation in a workgroup your ideas can be brought to the center of where policy and decisions are being made. Regions will be organizing by activity clusters (see changes to  proposal).
